IHG ‘Shaping Our Future’ Conference was held at the Intercontinental Hotel in Athens. The event bought together 600 owners, managers and corporate guests.
Ellipsis were the overall event producers. We had a wide range of responsibilities and started planning the event four months in advance. The first elements required were the event indentity, registration website and delegate management.
We sourced guest presenters, AV equipment and crew, worked with local suppliers, developed creative concepts and managed the production budget.
One of our innovative proposals was to use a gigantic LED screen measuring 20m wide by 4m high.

The event branding was also carried across the whole spectrum of visual materials including displays, badges and a tradeshow.
Ellipsis used the bespoke registration website to manage the delegate experience and help the organisers with regular updates.
Once onsite we also managed the registration process with the IHG team, and assisted with the logistics of the event.
The delegates got their first surprise as they entered the ballroom.
They walked through a Sci Fi style air lock, with low lying fog, laser scanning and a robotic voice welcoming them and clearing them for entry.
Their next great surprise and a particular challenge for us was enanbling a presenter to drive a ‘Back to the Future’ Delorean into the conference ballroom (helpfully situated in the lowest level of the hotel).
We helped source the Delorean and deployed lighting, lasers, fog machines and a Kabuki drop curtain to create a jaw dropping moment for the event.

A large quantity of technical equipment and crew are required to run the event of this complexity with over 20 different presenters. Here is a view of the backstage set up.
The first day culminated in an Awards ceremony and as we only had 2 hours to convert the room the LED screen once again was a huge success in allowing us to create totally different branding and add a three dimensional feel to the stage. Live entertainment and cameras added to the drama of the event
